These Terms and Conditions govern your use of this website and any services provided by Rachel Campling of Physiology flow, including but not limited to:

  • 1:1 functional breathing coaching

  • Group workshops and programmes

  • Corporate / workplace wellbeing workshops

  • Susie Sloth School and community Workshops

  • Online sessions and digital resources

By accessing this website or booking any services, you agree to be bound by these Terms.

2. Website Use

You agree to use this website lawfully and in a way that does not infringe the rights of others or restrict their use.

You must not:

  • Misuse the website or attempt unauthorised access

  • Copy, scrape or reproduce content without permission

  • Introduce viruses, malware or harmful material

We reserve the right to restrict or terminate access to this website at our discretion.

3. Intellectual Property

4. Instructor & Coaching Scope

Our services are educational and wellness-based in nature. We are not medical professionals, physiotherapists, psychologists or licensed healthcare providers.

We do not:

  • Diagnose medical conditions

  • Prescribe treatment

  • Replace medical or mental healthcare

All coaching and workshops are intended to support wellbeing, breath awareness, stress management and performance — not to treat illness or injury.

5. Health & Safety Disclaimer

Breathing exercises, breath-holding, and light movement activities may not be suitable for everyone.

You agree that:

  • You are responsible for ensuring you are medically fit to participate

  • You will consult a healthcare professional before participation if you have any medical condition, including but not limited to asthma, heart conditions, pregnancy, neurological disorders, or anxiety conditions

  • You will stop immediately if you experience dizziness, discomfort, pain or distress

Participation is entirely at your own risk.

6. Limitation of Liability

To the fullest extent permitted by law:

  • Physiology flow shall not be liable for any injury, loss, damage or adverse outcome arising from participation in services or use of website content

  • Our total liability shall not exceed the amount paid for the service giving rise to the claim

  • We are not liable for indirect, incidental, consequential or economic losses

Nothing in these Terms excludes liability for death or personal injury caused by negligence or fraud where such exclusion is unlawful.

7. Booking, Payment & Refunds (All Services)

7.1 Booking

All bookings are subject to availability and confirmation. A booking is only confirmed once you receive written confirmation from us and payment terms are agreed.

7.2 Payment

Unless otherwise agreed in writing:

  • Payment is required in advance of delivery

  • Invoices must be paid by the due date stated

Where post-delivery payment is agreed in exceptional circumstances:

  • Payment must be made within 14 days of invoice

  • Failure to pay may result in suspension of future services and recovery of reasonable costs

7.3 Cancellation by Client – 1:1 Coaching

48+ hours - Full refund or free reschedule

24–48 hours - 50% refund or one reschedule

Less than 24 hours - No refund

No-shows are non-refundable.

7.4 Cancellation by Client – Group Workshops & Public Events

7+ days - Full refund or transfer

3–7 days - 50% refund or transfer

Less than 72 hours - No refund (transfer permitted)

7.5 Cancellation by Client – Corporate Workshops

14+ days - Deposit retained, remainder refunded

7–14 days - 50% fee payable

Less than 7 days - 100% fee payable

7.6 Cancellation by Us

We reserve the right to cancel or reschedule any service due to illness, emergency, low attendance, or unforeseen circumstances.

In such cases, you will be offered:

  • A rescheduled date, or

  • A full refund

We are not responsible for travel, accommodation or indirect costs.

7.7 Events Outside Either Party’s Control (Force Majeure)

Neither party shall be liable for failure to perform due to events beyond reasonable control, including extreme weather, illness of venue staff, venue closure, strikes or public health emergencies.

In such cases, services will be rescheduled or credited where possible.

8. Susie Sloth School Workshops – Specific Terms

8.1 Workshop Structure

  • Workshops are delivered on school premises

  • Sessions last approximately 1-2 hours

  • Suitable for up to 60 children per session

8.2 Space & Supervision

Schools agree to provide:

  • A suitable indoor space for light movement

  • Teacher supervision at all times

  • Behaviour management support

We do not take responsibility for pupil supervision.

8.3 Payment Terms

  • Payment is due within 14 days of invoice unless otherwise agreed

  • Payment must be received prior to delivery unless agreed in writing

8.4 Cancellation by School

14+ days - Full refund or reschedule

7–14 days - 50% refund or reschedule

Less than 7 days - Full fee payable

8.5 Cancellation by Provider

If we cancel due to illness or unforeseen circumstances:

  • A replacement date will be offered

  • Or a full refund issued

8.6 Force Majeure

If workshops cannot proceed due to school closure, weather, illness outbreaks or events outside either party’s control:

  • Workshops will be rescheduled where possible

  • Or credited for future use

8.7 Health & Safety

Workshops involve light movement and breathing awareness only and are not medical interventions. Schools remain responsible for safeguarding, supervision and medical needs.

9. Late or Non-Payment

If payment is not received by the due date:

  • The booking remains provisional

  • We reserve the right to cancel, postpone or refuse delivery

  • Future bookings may be declined until payment is settled

We reserve the right to recover reasonable administrative or legal costs incurred in pursuing overdue payments.

10. Digital Products & Online Content

Unless otherwise stated:

  • Digital products, downloads and online resources are non-refundable once accessed

  • Access may be revoked if misuse or breach of these Terms occurs

11. Privacy & Data Protection

We are committed to protecting your personal data in accordance with UK GDPR and the Data Protection Act 2018.

We collect and process personal data for:

  • Booking and service delivery

  • Communication

  • Legal and accounting purposes

We do not sell or share personal data with third parties except where legally required or necessary for service delivery.

You have the right to:

  • Access your data

  • Request correction or deletion

  • Withdraw consent

  • Lodge a complaint with the ICO

12. Testimonials, Images & Recordings

Recording of sessions by clients is not permitted without written consent.
